Motor Pool Maintenance & Vendor Information

When possible, repairs/maintenance should be completed at the Motor Pool shop located at 723 West 19th Street in Cheyenne. If you're unable to use the Cheyenne shop, call Motor Pool for instructions or refer to the list of vendors provided in the driver’s book provided with all vehicles.

NOTE: Repairs or maintenance costing more than $200.00 must be authorized by MVMS. This can be done by having the vendor call our toll free number (1-800-442-2375) during normal business hours. When signing the invoice, and the bill is over $150.00, please be sure there is an authorization number noted on the invoice.

All invoices must include the vehicle’s asset number (located on the inside of the driver’s door or on the fuel key), as well as the vehicle license number, make, model, and current mileage.

After dialing for assistance, please have the following information at hand for all roadside requests.
Vehicle Plate Number (S-XXXX) Asset# (5 Digit Number from Fuel key)
Driver’s Cell/Contact Number and Name- This will be used should the vendor have a problem locating the driver and further instructions/directions are needed.

Roadside Assistance Service for Light Duty (GVWR of 10,000 Lbs or less)
Towing - Free within 25 miles (40 kilometers) from the site of pickup to destination. (Accident-related towing is not covered.)
Medium Duty(10,001 to 26,000 Lbs) tow is available for a fee.
Heavy Duty (Greater than 26,000 Lbs) tow is available for a fee.

Lockout Service - Vehicle must be at an accessible location. Does not include the cost of keys, parts, or additional labor beyond gaining entry to the vehicle.
Battery Boost - Hybrid and Electric vehicles are not included.
Flat - One tire change per service call. More than one flat tire will require towing to a service location. Fixing or patching a flat tire is not included. The service provider will use the spare tire in the vehicle; if the vehicle has no spare or the spare is not operational, the service provider will fill the flat tire if the tow operator has an air pump in the truck, or tow the vehicle.
Fuel Delivery - This covers the delivery of approximately 9 Liters (2 gallons) of fuel. If more fuel is required, the vehicle will be towed and subject to the towing conditions.
Winch - The vehicle must be at an accessible location and within 10 feet from the roadway.
*As a general rule, light-duty is any motor vehicle under 10,000 lbs.
If a driver is unable to obtain assistance, they are authorized to call the nearest tow company and then submit the invoice to Motor Pool for payment.

SERVICE INTERVALS
MVMS recommends every 5,000 miles or 12 months:
oil change;
tire rotation & inspection;
inspect undercarriage, exhaust, & suspension system;
fluid levels checked, topped off.
WHAT ELSE DO I NEED TO KNOW?
All invoices must show the vehicle’s asset number (located on the inside of the driver’s door or on the fuel key), vehicle license number, make, model and mileage. This expedites the handling of invoices and keeps our vendors happy. Send detailed invoices to the Motor Pool via mail, email, or fax.
It's your responsibility to be sure your permanently assigned vehicles are maintained. MVMS is here to assist and address questions or concerns. Your safety is our top priority and we will work with you to insure that your vehicle is operating safely and efficiently.
You may make arrangements to have our staff maintain your vehicle instead of taking it to an outside vendor by making an appointment while you are in Cheyenne. We automatically make all the necessary inspections on all vehicles that come into our shop for preventative maintenance and can provide you with a loaner vehicle.
